AI agents for real estate agencies

An AI agent for real estate leads answers new enquiries quickly, scores which buyers and sellers are serious, and drafts the follow-up that agents never get time to send. FrugalPod’s sales pod does this inside your CRM and inbox. Agents still run viewings, negotiate and advise clients. Every message and record change waits for a person’s approval first.

In short
  • Start with lead response: a new enquiry that waits until the evening is often gone by the morning.
  • AI agents draft replies, score leads and tidy the CRM; your agents keep viewings, pricing advice and negotiation.
  • Nothing is sent or changed until a person approves it, and text messages go only to people who opted in.
  • In many markets the busiest weeks are spring listings and the start of school terms, when follow-up is most likely to slip.

Example: a week at Larkspur Homes

Illustrative example: Larkspur Homes and Marisol represent a typical setup, not a named FrugalPod customer.

Larkspur Homes is a six-person agency selling family homes in a commuter town. Most enquiries arrive by website form, email and ad responses, and the team keeps contacts in HubSpot. Marisol, the principal, connects HubSpot, Gmail and Calendly to FrugalPod and receives approvals in Slack.

Marisol asks: “Reply to every new enquiry the same day, tell me who is ready to view, and stop buyers from falling out of the CRM.”

  1. The Lead qualifier reads each overnight enquiry and scores it against Larkspur’s ideal buyer: area, budget range, timing and whether they have a home to sell.
  2. The Follow-up writer drafts a reply to each one, mentions the listing they asked about and offers viewing slots through the team’s Calendly link.
  3. The CRM keeper finds one buyer entered three times under different listings and proposes a single merged contact with the notes combined.
  4. After Saturday’s open home, the Follow-up writer drafts a thank-you to every visitor, with a different line for those who asked about a second viewing.
  5. Drafts and proposed merges sit in one approval list in Slack, each with the reason attached.

What Marisol approves: Marisol reads the list on Monday at 8am, edits the replies to two sellers, approves the rest, and accepts the merge once she has checked the notes.

Busy seasons and timing

Property markets follow local rhythms. Many places see a rush of new listings in spring, a burst of family buyers before school terms, and a slower stretch around year-end holidays. Rates and local news can also trigger a sudden wave of enquiries. The busy weeks are when the team is out at viewings and follow-up slips, which is the gap an agent pod covers. The slow weeks are a good time to clean the contact database and restart conversations with past clients, because the work no longer competes with live deals.

Where to start

Start with the sales pod on new enquiries and post-viewing follow-up, since speed of reply is where small agencies lose the most. Once the drafts sound like your team, add the CRM keeper so the database stays trustworthy. The marketing pod can follow for listing copy and newsletters. Keep contracts, offers and pricing advice with your licensed agents.

How FrugalPod fits a real estate agency

FrugalPod’s sales pod gives the agency a Lead qualifier, a CRM keeper and a Follow-up writer that work inside HubSpot, Pipedrive, Salesforce, Gmail, Outlook and Calendly. Connections start read-only, and you choose whether any agent may change a record. Emails, messages and merges wait for approval in the FrugalPod app or in Slack. Outreach honours opt-outs, quiet hours and consent rules, and texts go only to people who opted in. Each pod has a hard budget cap, and every action is logged. See pricing for how credits work.

Common questions

Something missing? Write to admin@frugalpod.com and a person will reply.

Can an AI agent respond to real estate leads instantly?

It can draft a reply as soon as an enquiry lands, so your agent only has to read and approve it. FrugalPod does not send on its own by default. You can later choose to let routine replies, such as sending a brochure, go out without review.

Will an AI agent give clients pricing or legal advice?

It should not, and you should keep that with licensed agents. The agents draft factual replies, offer viewing times and flag questions about price, offers or contracts for a person. Rules for advertising, fair housing and messaging vary by location, so check with a qualified advisor.

Does it work with the CRM my agency already uses?

FrugalPod’s sales pod connects to Salesforce, HubSpot and Pipedrive, plus Gmail, Outlook and Calendly. If your agency uses another CRM, it is not confirmed as a connection. Ask via admin@frugalpod.com before planning around it.

Can it text leads as well as email them?

FrugalPod sends SMS and WhatsApp messages only to people who opted in, and it honours opt-outs and quiet hours. Consent rules such as TCPA apply to texting, and they vary by location, so confirm your own opt-in process with a qualified advisor.

What would this cost a small agency?

FrugalPod charges for the work agents do rather than per seat, so every agent on your team can review and approve on any plan. You can start free with 100 credits, then pay as you go or choose Starter at $19 a month or Pro at $49 a month.
