AI agents for physiotherapy clinics
AI for physiotherapy clinic admin works best on the non-clinical work around treatment: sorting the shared inbox, answering routine questions, following up enquiries, replying to reviews and checking supplier invoices. Clinical notes, treatment plans and patient records stay with your clinicians. FrugalPod agents prepare each piece, and by default the practice manager approves it before anything goes out.
- Start with work that involves no patient records: website enquiries, routine questions, reviews, supplier invoices and hiring.
- Keep patient records unconnected to any agent unless your compliance advisor agrees. Health data rules vary by location.
- Triage routes anything about symptoms or treatment to a clinician, and the Responder drafts only from your help center.
- By default, every reply, payment and record change waits for the practice manager’s approval.
- Review replies are drafted without confirming that the reviewer was a patient, and you post them yourself.
The desk work physiotherapy clinics repeat every week
| Job | What goes wrong today | Who takes it on |
|---|---|---|
| Sorting the shared inbox by what needs a person first | Referrers, new patients, existing patients rebooking, suppliers and landlords all write to one address. A message from a clinician’s referrer waits behind a supplier newsletter. | Triage, support pod |
| Answering routine questions about fees, parking and the first visit | Reception answers what to wear, how long a first session lasts and what the cancellation policy says many times a week, between checking patients in. | Responder, support pod |
| Following up website enquiries that went quiet | Someone asks about appointment times for a sports clinic, gets an answer, and never books. Nobody has time to send one friendly nudge. | Follow-up writer, sales pod |
| Replying to online reviews | Replies are a privacy risk. A warm, specific reply can confirm that someone was a patient, so owners either avoid replying or write generic answers late. | Custom agent |
| Finding out what people nearby look for | The clinic offers back care, running injuries and post-surgery rehab, but few staff have time to read local search data or public reviews to see which pages to write. | Researcher, marketing pod |
| Checking supplier invoices | Treatment table paper, tape, exercise bands, equipment servicing and laundry arrive on separate invoices, and duplicates slip through. | Invoice checker, finance pod |
| Matching card and bank payments to the ledger | Card terminal payouts and bank transfers arrive in batches, net of fees, and take an evening to match by hand. | Reconciler, finance pod |
| Screening applicants for physiotherapist and assistant roles | A single vacancy brings a pile of applications. Checking registration and licence status stays a human job, but reading the pile takes evenings. | Resume screener, HR pod |
Example: a week at Northfield Movement Physio
Illustrative example: Northfield Movement Physio and Femi represent a typical setup, not a named FrugalPod customer.
Northfield Movement Physio is a five-clinician clinic with two reception staff. New patients arrive through search, GP and referrer recommendations and a website form that asks only for a name, a preferred day and the service wanted, never symptoms. Femi, the practice manager, connects Gmail, Google Calendar, QuickBooks and Slack to FrugalPod. The clinic’s patient records system is not connected and stays out of scope unless the clinic’s compliance advisor agrees.
Femi asks: “Answer every new enquiry the same morning, draft replies to our reviews, and check the supplier invoices.”
- The Triage agent sorts the shared inbox each morning, putting referrer messages first and sending any email that describes symptoms or treatment to a clinician unanswered.
- The Responder drafts answers to three routine questions about parking, fees and what to wear, from the clinic’s help center.
- The Follow-up writer drafts a reply to each website enquiry with free times from Google Calendar for Femi to confirm.
- A custom agent, tested on last month’s reviews before it went live, drafts replies from the review alert emails in Gmail that thank people and invite them to call, without mentioning treatment or confirming they were patients. Femi posts them herself because no review platform is connected.
- The Invoice checker compares this month’s supplier invoices with what was ordered and flags a duplicate from the equipment servicing company.
- Everything waits in one approval list in Slack, with the reason for each suggestion attached.
What Femi approves: Femi reads the list at lunch, edits two replies, asks a clinician to answer the one email that mentions a worsening injury, and holds the duplicate invoice for a call with the supplier.
Busy seasons and timing
Physiotherapy demand follows sport and weather. January brings people who have made fitness resolutions and then overdone them. Spring brings the running season, gardening and the start of outdoor team sports. Winter slips and ski trips add injuries in cold months. The end of an insurance or benefit year can bring a rush of people trying to use remaining cover, and the rules differ by location. Summer holidays thin the clinician roster, so the same admin has to be covered by fewer people. A pod helps most when reception is busiest and when a colleague is on leave.
Where to start
Start with the support pod on the shared inbox and routine questions, since that is a common time sink for reception and needs no patient record. Add the finance pod for supplier invoices and payments. Leave anything that touches treatment notes or records until your compliance advisor has agreed what is allowed.
How FrugalPod fits a physiotherapy clinic
FrugalPod gives the clinic a small team of agents across support, sales, marketing, finance and HR, working in the tools the practice already uses. Every connection starts read-only. By default, every message, payment and record change waits for the practice manager’s approval in the app or in Slack. Each pod has a hard budget cap and every action is logged. Clinic data is never used to train FrugalPod’s models or its AI providers’ models. The security page explains how access, encryption and deletion work.

Common questions
Something missing? Write to admin@frugalpod.com and a person will reply.
Can AI agents handle patient records?
Health data is regulated, and the rules differ by country and region. Keep patient records unconnected unless your compliance advisor agrees. FrugalPod makes no compliance certification claim here. Start with work that needs no clinical data, such as supplier invoices, reviews and hiring.
Will an agent answer a patient’s question about their injury?
Not in this setup. The Responder drafts answers only from your help center, which here covers fees, parking and opening hours. Triage routes anything about symptoms, exercises or treatment to a clinician. The Triage agent tags and routes messages but never answers them.
Is it safe to reply to reviews from the clinic account?
Be careful. A reply that thanks someone for their treatment can confirm they were a patient, and privacy rules about that vary by location. The draft replies in this example avoid it, and you post them yourself. Ask your advisor for a policy first.
Can agents book appointments?
In this example the Follow-up writer suggests free times from Google Calendar, and the practice manager confirms them. FrugalPod is not connected to the clinic’s records or booking software here, so reception still enters bookings there.
What does it cost a small clinic?
FrugalPod charges for the work agents do, not per seat, so reception and clinicians can all review on any plan. Start free with 100 credits and no card, pay as you go at $1 per 100 credits, or choose Starter at $19 a month or Pro at $49 a month.
