AI agents for event planners

AI for an event planning business covers the desk work between the first enquiry and the final invoice: scoring enquiries by date and budget, drafting proposals from your price book, following up after tastings and site visits, and checking vendor invoices. Planners keep the design, the vendors and the event day. FrugalPod agents prepare each piece, and by default you approve it before anything goes out.

In short
  • Start with enquiries and proposals, because a fast, clear reply is often what separates one planner from another.
  • The Lead qualifier scores enquiries against your ideal event. The Follow-up writer drafts proposals and follow-ups from your price book.
  • Vendor invoices can be compared with agreements to catch repeated deposits and charges nobody approved.
  • By default, every email, proposal and payment waits for the planner’s approval.
  • Event-day coordination stays with people. Agents help with the weeks of admin around it.

The desk work event planners repeat every week

JobWhat goes wrong todayWho takes it on
Scoring enquiries by date, guest count and budgetA couple asking about a June weekend that is already booked arrives next to a corporate dinner with a clear budget. Both wait for whoever reads email first.Lead qualifier, sales pod
Drafting proposals and quotes from the price bookA proposal takes an evening to build from past events, so enquiries wait days for a quote while the client talks to another planner.Follow-up writer, sales pod
Following up after tastings, venue visits and callsAfter a tasting the client says they will discuss it and goes quiet. The planner is already on site at the next event.Follow-up writer, sales pod
Filling in client records after callsGuest counts, dietary needs, budget changes and venue notes live in notebooks and email threads, so a colleague covering for the planner starts from nothing.CRM keeper, sales pod
Confirming timings with vendors before the eventThe florist, caterer and AV supplier each need the final timeline and a contact on the day. Writing the same message three ways is easy to put off.Custom agent
Checking vendor invoices against agreementsA caterer bills overtime nobody agreed or invoices a deposit twice, and the planner finds out after paying.Invoice checker, finance pod
Matching client instalments to the ledgerA deposit, a second instalment and a final balance arrive by different routes, and the planner cannot tell at a glance who still owes what.Reconciler, finance pod

Example: a week at Lantern and Lark Events

Illustrative example: Lantern and Lark Events and Ayesha represent a typical setup, not a named FrugalPod customer.

Lantern and Lark Events is a small studio with three planners and a coordinator. It handles weddings and corporate dinners, and enquiries arrive through a website form, venue referrals and Instagram. Ayesha, the founder, keeps clients in HubSpot, books consultations through Calendly, and connects HubSpot, Gmail, Calendly, Google Calendar, QuickBooks and Slack to FrugalPod.

Ayesha asks: “Reply to this week’s enquiries with proposals, follow up everyone who has had a tasting, and check the caterer’s invoice.”

  1. The Lead qualifier scores three new enquiries against the studio’s ideal event, checking each date against Google Calendar. A corporate dinner for eighty ranks first, and a request for a weekend that is already booked ranks last.
  2. The Follow-up writer drafts a proposal for the corporate dinner from the price book, with a Calendly link for a consultation call.
  3. The Follow-up writer drafts a note to a couple who had a tasting on Saturday, restating the options discussed and offering a decision date.
  4. The CRM keeper fills in guest count and dietary notes from the call notes and lists three clients with no budget recorded.
  5. The Invoice checker compares the caterer’s invoice with the signed agreement and flags overtime that was never agreed. The Reconciler matches two wedding instalments to QuickBooks and flags one it could not place.
  6. Every draft waits in one approval list in Slack, with the reason attached.

What Ayesha approves: Ayesha approves the proposal, rewrites the tasting note in her own warmer tone, and calls the caterer about the overtime before anyone pays.

Busy seasons and timing

Events follow a clear calendar. Spring through early autumn is wedding season, when planners are on site most weekends and the office goes quiet. Enquiries for the following year’s weddings often arrive in the new year. Corporate holiday parties are usually booked in late summer and autumn and take place just when the season is busiest. Conferences cluster in spring and autumn. Weekends are event days, so Monday brings a backlog of follow-ups, and a pod helps most there: reply drafts are ready to approve the same day while the whole team is on site.

Where to start

Start with the sales pod on enquiries and proposals, because speed of reply and a clear price are what win events. Add the finance pod when vendor invoices and client instalments start to pile up. Marketing can follow once you want portfolio posts written from finished events.

How FrugalPod fits an event planning business

FrugalPod gives the studio a small team of agents that work in the tools the team already uses, including HubSpot, Gmail, Calendly, Google Calendar, QuickBooks and Slack. Connections start read-only, and you choose per agent whether it may change anything. By default, every email, proposal and record change waits for approval in the app or in Slack. For vendor timeline confirmations you build a custom agent: describe the job, set the rules and test it on last month’s work before it goes live. Each pod has a hard budget cap. See pricing.

Common questions

Something missing? Write to admin@frugalpod.com and a person will reply.

How fast should a planner reply to a wedding enquiry?

As fast as you can with something useful: confirm the date is open, say what the next step is and attach a price range or a consultation link. Same-day replies stand out when clients are contacting several planners. A Follow-up writer agent drafts the reply for you to approve.

Will agents negotiate with vendors?

No. The Invoice checker compares a vendor’s invoice with the agreement you give it and flags differences. You decide whether to dispute the charge or pay. A custom agent can draft a timeline confirmation for vendors, and you approve it before it goes out.

Can an agent chase clients for late instalments?

The Reconciler matches payments to the ledger and lists lines it could not match. It does not chase anyone. If you want reminder emails drafted, that is a custom agent, and you approve each one. Payment terms and late fees depend on your contract and local rules, so check with a qualified advisor.

Can the agents run the event day?

No. Event-day decisions, vendor coordination on site and anything involving guests stay with the planner and the team. Agents help with the admin before and after: enquiries, proposals, records, invoices and posts.

What does it cost a small studio?

FrugalPod charges for finished work, not seats, so every planner and the coordinator can review on any plan. Start free with 100 credits and no card, pay as you go at $1 per 100 credits, or choose Starter at $19 a month or Pro at $49 a month.
