AI for cleaning business quotes and admin

AI for a cleaning business works best on quotes: an agent can read a request for a three-bedroom home cleaned every two weeks, price it from your own price book and draft the reply for you to approve. The same agents chase quotes that went quiet, handle reschedules and screen cleaner applicants. FrugalPod prepares each piece of work, and you approve it before anything is sent.

In short
  • Slow quotes lose work: a request that waits until evening may go to a company that replied sooner.
  • The Follow-up writer drafts quotes from your price book, using room counts, frequency and add-ons such as inside the oven.
  • Recurring customers are the profit. Agents draft check-ins after the first clean and after a skipped visit.
  • Cleaner turnover means constant hiring, so the HR pod screens applicants and runs day-one checklists.
  • Nothing is sent, charged or changed until a person approves it.

Example: a week at Fernway Cleaning

Illustrative example: Fernway Cleaning and Marisol represent a typical setup, not a named FrugalPod customer.

Fernway Cleaning is a team of eight cleaners serving homes and a few small offices. Customers ask for quotes through a website form and by email, and about half book a recurring clean. Marisol connects Gmail, Google Calendar, QuickBooks and Slack to FrugalPod. Her price book lists a base rate by room count, a frequency discount and add-on prices.

Marisol asks: “Reply to every quote request the same day, follow up on the quiet ones, and help me hire two more cleaners.”

  1. The Lead qualifier reads each new request, checks the address against Marisol’s service area and marks deep cleans and move-outs for a closer look.
  2. The Follow-up writer drafts a quote from the price book using the bedrooms, bathrooms, home size and frequency, and offers first-visit times from Google Calendar.
  3. Three days after each quote, the Follow-up writer drafts a short nudge for customers who have not replied.
  4. After a customer’s first clean, the CRM keeper updates the record with access notes and preferred days, and the Follow-up writer drafts a check-in that offers a recurring slot.
  5. The Resume screener scores cleaner applicants against Marisol’s must-haves, such as weekday availability and a driving licence, and explains each score.
  6. Everything lands in one approval list in Slack, each item with the reason attached.

What Marisol approves: Marisol reads the list after the school run, corrects the quote for one home with two pets, approves the nudges and check-ins, and invites three screened applicants to a trial shift.

Busy seasons and timing

Cleaning demand has its own calendar. Spring cleaning, pre-holiday hosting, move-out weeks at the end of the month and the weeks before guests or inspections all bring bursts of one-off quote requests that arrive faster than the owner can price them. Rental turnovers cluster around the start and end of leases. Staff illness and holidays force reschedules, and turnover among cleaners means hiring never really stops. A pod earns its keep at those peaks, when quoting speed decides who wins the job.

Where to start

Start with the sales pod on quotes and follow-ups, because a faster reply is the most direct way to win more of the requests you already get. Add the HR pod when you next post for cleaners. Bring in scheduling questions through the support pod once you trust the tone of the drafts. For a similar trade, see the home services example.

How FrugalPod fits a cleaning company

FrugalPod gives a cleaning company a small team of AI agents across sales, support, HR and finance, working in the tools the owner already uses. Quotes come from your own price book, not from guesses. Tools connect read-only by default, and every quote, message, payment and record change waits for your approval in the FrugalPod app or in Slack. Each pod has a hard budget cap and every agent action is logged. Customer data is never used to train FrugalPod’s models or its AI providers’ models. The security page explains access and deletion.

Common questions

Something missing? Write to admin@frugalpod.com and a person will reply.

Can AI price a cleaning job accurately?

It can apply your price book consistently: bedrooms, bathrooms, size, frequency and add-ons. It cannot see the home. Quotes are drafts, so you can adjust for pets, heavy buildup or odd layouts before approving. Treat the first few weeks as a check on whether your price book covers the jobs you actually get.

Will customers know a quote came from an agent?

Drafts are written in your voice and you approve each one, so the message goes out from your business as you would send it. Be honest if a customer asks how you work. The agent speeds up preparation, and a person still decides the price and what is promised.

Can it help with hiring cleaners?

Yes, for screening and onboarding. The Resume screener scores applicants against your must-haves and explains why. Hiring rules vary by location, so keep the final decision with a person and check requirements such as background checks with a qualified advisor.

What does it cost a small cleaning company?

FrugalPod charges for the work agents do, not per seat, so your office manager and crew leads can all review drafts on any plan. Start free with 100 credits, pay as you go at $1 per 100 credits, or choose Starter at $19 a month or Pro at $49 a month. See the pricing page.
