How to automate bank reconciliation for a small finance team

To automate bank reconciliation, connect your bank and payment feeds, reconcile daily instead of at month-end, define matching rules for each transaction type, and send only the exceptions to a person. The goal is not zero human work. It is human attention spent only on the transactions that need it.

In short
  1. Connect every source and reconcile daily
  2. Write matching rules for each transaction type
  3. Send only exceptions to a person
  4. Approve entries, then post
  5. Keep an audit trail as you go

Step by step

  1. Connect every source and reconcile daily

Bring in bank feeds, card statements and payment processor payouts. Reconciling a day’s transactions takes minutes; reconciling a month’s at once takes days and hides problems until they are harder to fix.

  2. Write matching rules for each transaction type

Start with exact matches on amount and date within a short window, then add rules for references, invoice numbers and payee names. Payment processors usually pay out net of fees and in batches, so match each payout to the charges it contains minus the fees, rather than looking for one-to-one matches.

  3. Send only exceptions to a person

Anything that does not match cleanly goes to a review queue with the likely reason attached: a possible duplicate invoice, a timing difference, an unrecorded fee or a currency difference.

  4. Approve entries, then post

Adjusting entries should be prepared with notes and supporting documents, then approved by someone accountable before they are posted.

  5. Keep an audit trail as you go

Record every match, change and approval with who did it and when. Month-end and audit then start with the evidence ready instead of a scramble.

Common mistakes to avoid

  • Waiting until month-end, so small mismatches pile up.
  • Matching payouts one-to-one when they are batched and net of fees.
  • Clearing exceptions without recording why.
  • Letting the same person prepare and approve adjustments without review.
