What is an AI agent?
An AI agent is software that is given a job, decides the steps needed to finish it and carries them out in your tools. A chatbot answers the question in front of it. An agent keeps working until the job is done, then reports back. The best agents for a small business also stop and ask before anything important goes out.
An AI agent is software that is given a goal, works out the steps to reach it, and carries them out using real tools such as your inbox, CRM or accounts.
- An AI agent works toward a goal, not just a single reply.
- It reads information, decides the next step and uses tools to act.
- It can run on a schedule or when something happens, without anyone chatting to it.
- Good agents have limits: what they may read, what they may change and what needs a person’s OK.
- Several agents can work as a team, each with one defined job.
How does an AI agent work?
An agent runs in a loop. It looks at the job and the information it has, decides the next step, takes that step with a tool, and checks the result. Then it repeats until the job is finished or it needs help. Ask an agent to follow up on last week’s quotes and it will find the open quotes, read the notes on each customer, draft a follow-up for every one and hand you the drafts to approve. No one has to prompt each step.
What makes an agent different from a chatbot?
A chatbot is a conversation: you ask, it answers, and nothing happens until you ask again. An agent has a job, tools and a memory of your business. It can work between your visits, such as clearing an overnight support queue before you open. It can also hand work to another agent, like a researcher passing findings to a copywriter. Both use the same language skills. The difference is what they are allowed to do with them.
Is an AI agent the same as automation?
No. Rule-based automation follows steps you configure: when a form arrives, copy it to a spreadsheet. It is fast and predictable but stops when the input is messy. An agent handles judgment: reading an invoice in an unusual format, deciding whether a lead fits your ideal customer, or drafting a reply in your tone. Many businesses use both. For a full comparison, see AI agents vs workflow automation tools.
What can go wrong, and how do you control it?
An agent with too much freedom can send the wrong email, change the wrong record or spend more than you meant. Three controls fix most of this. Give it read-only access until you trust it. Make anything that sends, spends or changes a record wait for your approval. Cap what it can spend. Also ask for a log of every step, so you can see exactly what it did and why. FrugalPod’s security page explains how these controls work in practice.
Examples in a small business
- A lead agent replies to a new website enquiry within minutes, asks two qualifying questions and books an estimate visit for the owner to confirm.
- A support agent tags every ticket overnight, drafts answers from the help center and flags the two urgent ones for the morning.
- A finance agent matches yesterday’s card payouts to invoices and lists the three it could not match, with the likely reason for each.
- A recruiting agent scores each applicant against the must-haves and explains every score, while a person decides who gets an interview.
Not to be confused with
- Chatbot: A chatbot replies inside a conversation; an agent completes a job across your tools.
- Workflow automation: Automation follows fixed rules; an agent decides the steps and handles exceptions.
- AI assistant: An assistant helps one person while they work; an agent works on its own and reports back.
How FrugalPod uses AI agents
FrugalPod gives each part of a small business a pod: a small team of AI agents with defined jobs that hand work to each other. There are ready-made pods for sales, marketing, support, finance and HR, and you can build a custom agent for any repeatable job by describing it in plain words. Agents connect to your tools read-only by default, anything that sends, spends, publishes or changes a record waits for your approval, and every pod has a hard budget cap.

Do I need technical skills to use an AI agent?
Not with a ready-made agent. You connect the tools it needs, describe the job in plain words and set what it may do on its own. With FrugalPod you can also test a custom agent on last month’s work before it goes live, so you see its results before trusting it.
Will an AI agent replace my staff?
In most small businesses agents take the repetitive desk work, such as follow-ups, data entry, triage and matching, so people spend their time on customers and decisions. A person stays accountable: they approve what goes out and handle the unusual cases the agent flags.
Is it safe to connect an AI agent to my business tools?
It can be, if the agent starts with read-only access, asks before changing anything and logs every action. Check whether your data is used to train AI models. FrugalPod connects read-only by default and never uses your data to train its models or its providers’ models.
How much does an AI agent cost?
Pricing varies by product. Some charge per user, others by the work done. FrugalPod charges by the work agents do, in credits where 1 credit is 1 cent, and every new account starts with 100 free credits. See the pricing page for plans.
